Subject Access Request Notice

  1. Notice

The Redeemed Christian Church of God was established in 1952 and has a presence in over 190 countries. RCCG VFP is a Charitable Company registered with the Charity Commission Charity No.1151893 and the Companies House (Company No. 08488900). 

This Subject Access Request Notice explains what to expect when you make a subject access request to the RCCG VFP in relation to the personal data we may hold about you. Please endeavour to read this notice carefully, and if there are further enquiries about data protection and subject access request policies, please contact our RCCG VFP Team:

  1. Scope

All data subjects whose data is processed by RCCG VFP.

  1. Responsibilities

Our responsibility as an organisation is to ensure that this notice is made available to potential data subjects prior to collecting their personal data.

  1. Our Promise

RCCG VFP is committed to respecting your privacy and ensuring the personal information you have entrusted to us is held securely. We process information in accordance with the Data Protection Act 1998, Privacy & Electronic Communications Regulations 2003 and the European Union’s General Data Protection Regulation (GDPR) coming into force in May 2018. The GDPR will strengthen your rights to know when your personal data is being processed and further ensure access to personal data held about you by organisations.  

  1. Making a Subject Access Request

A SAR can be made by a data subject whose data we currently hold as a registered data processor in writing or by electronic means. Where the data subject makes a SAR by electronic means, and unless otherwise requested by the data subject, the information will be provided in a commonly used electronic format.

  1. Identity Verification

Before a SAR is provided to a data subject, the identity of the requester must be verified. For SAR purposes, any of the following forms of identification shall be sufficient (*These documents must be dated in the past 12 months, +These documents must be dated in the past 3 months):

  • Current UK/EEA Passport
  • UK Photocard Driving Licence (Full or Provisional)
  • EEA National Identity Card
  • Full UK Paper Driving Licence
  • State Benefits Entitlement Document*
  • State Pension Entitlement Document*
  • HMRC Tax Credit Document*
  • Local Authority Benefit Document*
  • State/Local Authority Educational Grant Document*
  • HMRC Tax Notification Document
  • Disabled Driver’s Pass
  • Financial Statement issued by a bank, building society or credit card company+
  • Judiciary Documents such as a Notice of Hearing, Summons or Court Order
  • Utility bill for supply of gas, electric, water or telephone landline+
  • Most recent Mortgage Statement
  • Most recent Council Tax Bill/Demand or Statement
  • Current Council Rent Card
  • Current Council Tenancy Agreement
  • Building Society Passbook which shows a transaction in the last 3 months and your address.

 

  1. Additional Information

When a SAR application is made by a data subject, RCCG VFP as a data controller may request additional information necessary to enable it to locate or streamline the requested information. 

The sole purpose of the additional information request will be to enable timely delivery of the requested information and must not exert unnecessary delay in delivery of the requested information.

 

 

  1. Fees

No fees will be charged for a subject access request. However, a ‘reasonable fee’ when a request is manifestly unfounded or excessive, particularly if it is repetitive, may be charged.

 

  1. Time Limit

The GDPR provides that organisations must provide requested information within one month of receipt of SAR. This may, however, be extended for a further two months where the request is complex or in case of multiple requests.

 

Where an extension will be needed in order to fulfil your request, the data subject will be contacted within one month of the receipt of the request with an explanation for why the extension has become necessary.

 

  1. Third Party

In fulfilling a SAR, we also consider the rights of third parties who may be involved in revealing information to a requester.

Where a SAR will disclose a third party, we will need to obtain the consent of the third party before the request can be fulfilled. If a third party does not consent to their information being revealed in the SAR, such information will be deleted even if it means the withdrawal of the whole document.

 

  1. Exception

There are certain circumstances in which RCCG VFP is not obliged to supply information requested under a SAR. These circumstances include but not limited to crime prevention and detection, negotiations with the requester, confidential references given by you (but not ones given to you), information used for research, historical or statistical purposes.

  A requester will be made aware timeously where their request falls under the exception.
